That sense of old world charm can now be further accentuated if you chose to arrive by train – the volunteer-run Swanage Railway reconnected to the mainline last year and runs services to Wareham from stations at Swanage, Harman’s Cross and Corfe Castle.

Swanage is Purbeck’s biggest town and a charming resort that manages to feel both thoroughly modern and thrillingly retro at the same time. To the north of the town, around Ballard Point and the instantly recognisable Old Harry Rocks is the beautiful seaside village of Studland. A favourite retreat of the bohemian Bloomsbury artists in Edwardian times, during World War Two the bay was used by Allied forces rehearsing the Normandy Landings, watched from Fort Henry by King George VI, Winston Churchill and Generals Eisenhower and Montgomery.

About our Swanage and Studland Holiday Cottages

We have a great selection of holiday cottages in the popular destinations of Swanage and Studland. Our collections of properties includes modern apartments with sea views, cosy cottages close to the town centre and dog-friendly holiday cottages.

So what are you waiting for? Your arrival time is [TIME] and you will need to leave the property by [TIME] on your last day. These times replace any that you may have seen previously, or that are different in the attached holiday information. Please keep to these times as we really need the property to be empty so that we can prepare it for your arrival, and get it ready for the next guests after you leave. Thank you for your understanding and help with this.

Collecting the keys
The arrangements for collecting keys for some of our properties has also had to change to ensure you have the safest holiday possible.

IF PROPERTY DOES NOT HAVE A KEYSAFE: Please check the attached information sheet for full details of how and where to pick up your keys.

IF PROPERTY HAS A KEYSAFE: The details below replace any that you may have seen previously or that are different in the attached holiday information.
Your keys are kept in a key safe. Here are the details on where to find it: [KEYSAFE NOTES]. We will send you the keysafe code by text message three days before your holiday starts.

Items you may want to bring with you
As an additional safety precaution, non-essential items that are difficult to clean to the standards currently required have been removed from many properties. This might include books, games and DVDs. Unfortunately we can’t say exactly what will be available in each property, so if you really enjoy board games on holiday we would recommend you bring your own!

Supplies of hand sanitiser will be available in some properties, but again, you may like to make sure this is on your packing list too.

Additional information about your holiday
As your upcoming stay gets closer you may have some questions about your property such as what's included and how to get there. All this information and more can be found in your customer account at [LINK]. If you haven’t used your customer account before, you’ll need to register with your email address.

Enhanced cleaning before you arrive
To minimise your risk of exposure to Covid-19, we have introduced extensive new cleaning processes and advised our property owners to take the same approach. Particular attention is being paid to high-contact sites, such as light switches, kitchenware, clothes hangers and door handles. For more information on how we are preparing your property, see our ‘Safety First’ webpage. If once you arrive you have any concerns about the cleanliness of your property, please let us know using the contact details below.

Cleaning and maintenance during your holiday
If we are scheduled to come and clean the property during your stay, our cleaning team will get in touch to agree a suitable time for this. We kindly ask that everyone in your party leaves [PROPERTY NAME] whilst our cleaner refreshes it for you.

How you can help
We want your holiday to be as safe and enjoyable as possible, so during your stay please follow the national guidelines on reducing the spread of coronavirus, by washing your hands regularly and coughing/sneezing into a tissue which you then put straight in the bin.

We also recommend washing your hands whenever you leave or return to the property.

At the end of your holiday, we’ll need your help with a few things before you leave so that your property remains safe and clean for the next guests. Please can you:

Remove the linen from all beds (excluding any mattress and pillow protectors), and place it in the clear bags provided.

Place all towels together in a separate clear bag. Linen and towels must be bagged separately.

Remove all waste from the property, following the in-property guidance.

Wash up as much as possible, using hot soapy water.

If there is a dishwasher, load and start the cycle, but do not empty the dishwasher when it is completed. Our cleaners will empty the dishwasher and return all items to the correct places.

If you need to contact us whilst you’re on holiday
Most of our offices are currently closed, but our team are always available by phone. In the event of an emergency, or if you need help or advice from us, please call our priority line on 0800 0487197 where our team will be ready to help between the hours of 09:00-20:00 Monday to Saturday. In the event that your emergency falls outside of these opening hours there will be a monitored voicemail where a team member will get back to you as soon as they are available.

If you develop Covid-19 symptoms whilst on holiday
The NHS currently identifies a high temperature or new continuous cough or loss or change to your sense of smell or taste as potential signs of Covid-19. Should anyone in your party develop these symptoms, or receive a track and trace alert, please follow this procedure:

Everyone in your party should remain within the property to prevent potentially spreading the virus.
Call the NHS on 111 to discuss your symptoms, or visit 111.nhs.uk/covid-19 where you will be asked a few simple questions.

If the NHS recommends you take a Covid-19 test, inform us immediately on 0800 0487197 or by email to inform@originalcottages.co.uk

It is important that all suspected and confirmed cases of Covid-19 are reported so that we can take the necessary precautions to keep both our holidaymakers and our staff safe.

And finally...
We really do appreciate your support and cooperation in following the above guidance so we can make sure you have the best and safest holiday possible, and we can protect everyone in our teams.

We hope you have a lovely holiday.

With best wishes

The Dorset Cottages Team

Mon, 29 Jun 2020 13:55:23 +0000 Anonymous 1128 at http://dorsetcottages.com Managing the risk of Covid-19 transmission at your property: http://dorsetcottages.com/owner/covid-19/managing-risk-of-covid19-at-your-property Managing the risk of Covid-19 transmission at your property: Alex Smith Fri, 26/06/2020 - 11:08

Our aim is to support you with the tools to make assessing and managing the risk of a holidaymaker contracting Covid-19 at your property as straightforward as possible.

Government guidance states all businesses should assess the risk of Covid-19 to any of their customers. It is best practice for holiday homeowners to record this process via a risk assessment. To help, we have created a template that can be easily adapted to your property.

As the owner of a holiday property, you are ultimately responsible for the health and safety of your guests. By completing a risk assessment, you can demonstrate (should the need arise) that you considered the risks posed by Covid-19 at your holiday home and put in place reasonable measures to protect your guests. The Government's guidance states all businesses should consider the risk of Covid-19 and how these can be mitigated. Whilst it does state “if you have fewer than 5 workers, or are self-employed, you don’t have to write anything down as part of your risk assessment”, we believe a simple document as a record of what was considered and done to limit the risk of infection is best practice. However, it is ultimately your decision on how you document your procedures.

We have produced a number of resources that might help you decide how you wish to prepare your property for guests, information about these are available below. You will also find a risk assessment template which might act as a good starting point for you to adapt and apply to your property.

Recommendations for property preparation

We have already shared with you our recommendations on how to adapt the way holiday properties are prepared and cleaned to ensure those involved in that preparation are protected and safe and to provide our guests with confidence that the risk of contracting Covid-19 has been minimised. You can access the recommendations here.

Cleaning checklist

A clear and concise checklist of the additional cleaning measures from our recommendations can be found here. This can be used when cleaning your property to keep a record of the steps that have been taken.

Property information card

In all properties managed by us, a new information card has been placed containing a breakdown of the changes made in response to Covid-19 with details of how to report symptoms. An online version of the information card can be viewed here.

The information card is permitted for use in owner managed properties where all recommendations laid out in the document are being followed. The document should be provided, laminated and sanitised between stays, or replaced with each stay.

Handling suspected or confirmed cases of Covid-19

In the unlikely event that a suspected or confirmed case of Covid-19 is reported to us we have launched a dedicated new telephone support line and email address, enabling us to rapidly respond. We have also devised a process which we will follow when a suspected or confirmed case is reported, information about this and the measures we will take to protect you, our teams and onward guests can be found here.

Managed properties

Where we carry out the cleaning or maintenance of your property for you our teams will be operating in line with our recommendations, using our cleaning checklist and leaving an information card in the property ready for the incoming guests. You can use the above resources to help you incorporate the work we are doing for you into your risk assessment.

Risk assessment template

We have created a template risk assessment for managing the spread of Covid-19 in holiday accommodation. It is essential that you consider the risk yourself and tailor to your property as there may be other considerations or specific risks for you to include.

Select here to open and download the risk assessment template

Frequently Asked Questions:

Fri, 26 Jun 2020 10:08:11 +0000 Alex Smith 1127 at http://dorsetcottages.com We're ready to welcome you http://dorsetcottages.com/were-ready-to-welcome-you We're ready to welcome you Alex Smith Tue, 23/06/2020 - 17:07

We’ve been busy taking measures to ensure you can enjoy a staycation from the 4th July with confidence. All of our properties are cleaned to a high standard, however, right now any ‘normal’ cleaning procedures will simply not be enough to control the spread of Coronavirus. So, we have created a dedicated team to review our usual procedures and create guidelines and provide tools for our homeowners and housekeepers to help reduce the risks at properties wherever possible to give your peace of mind when you take your well-earned holiday.

Enlisting the help of experts

Whilst our team are experienced in their field, they do not claim to be qualified scientists, or medical professionals – so we found some to help us. We enlisted a clinician and two public health consultants to help check and refine our thinking. So, you can relax in the knowledge that our approach is sound.

What it means in practice

We have issued all of our homeowners and housekeepers with an enhanced set of cleaning guidance. This includes the following, and much more:

Allowing additional time for the cleaning to take place. This does mean that we need to ask our guests to check in later (at 7pm), and check out earlier (at 9am), but we hope you understand that it is for the safety of you, and our housekeepers.

Providing housekeepers with the appropriate PPE for cleaning the property. We have also advised on the correct and safe protocol for ‘donning’ and ‘doffing’ their equipment.

Taking high-risk/high-touch items out of properties. This includes items such as board games and DVDs.

Deploying extra hygiene measures, such as cleaning and disinfecting high contact areas of a property, such a door handles.

Your role in staying safe

Before your holiday, we'll send you some helpful information about how you can help lower the transmission of Covid-19 whilst on your break. There’s nothing too disruptive in there, just simple measures like washing your hands each time you enter or leave the property and bagging up your bed linen before you leave.

Minimising risk

Even with all the measures that are being taken, we cannot 100% guarantee that your property will be Covid-free. We can assure you that the risk of contagion in any one of our properties is very low – much lower, for example, than visiting a shop or supermarket.

Watching and learning

As we’re sure you’ll be aware, new research is being conducted all of the time, and this can often prompt a change in Government guidance. We will, of course, keep up to date with the latest information and adapt our approach appropriately. In addition, we will listen to first-hand feedback from our guests and housekeepers and do whatever we can to safely meet their needs.

Thu, 18 Jun 2020 12:30:07 +0000 Customer22864009 1123 at http://dorsetcottages.com Covid-19 Communications Archive http://dorsetcottages.com/owner/covid-19/communication-archive Covid-19 Communications Archive Alex Smith Thu, 11/06/2020 - 13:42

An archive of our communications regarding Coronavirus to homeowners across the Original Cottages Family.
